Potential Work Sites

When contacting agencies as potential Work Sites, the Regional Representatives should emphasize the following benefits to them:

 

   Provision of a casual work force to meet their particular needs

   Absence of a requirement to retain participants who demonstrate difficultly adapting to the work environment.

 

Potential Work Site Supervisors and contact persons are to be given:

 

   An explanatory overview of WEX programs including information regarding the completion and return of time sheets and the handling of on-the-job injuries.

   A copy (explanation) of the Information Sheet form 22-06 that outlines program requirements and supervisorís responsibilities.

Cooperative Agreement Form
(Regional Representative)

Employment Services Contractors are required to:

 

         Develop and maintain Cooperative Agreements with

participating Work Sites.

         Develop an approval system for appropriate safe/non-hazardous Work Sites.

         Notify the WEX Program Specialist if a Work Site may be questionable for placement (ex. potentially unsafe).

 

The Cooperative Agreement Form:

 

   Specifies the conditions and terms under which an agency agrees

†† to provide Work Sites for participants in the CalWORKs Work

Experience (WEX) Program.

   Must be signed by each Work Site agency.

 

The Regional Representative will:

Complete the top section of the Cooperative Agreement for each Work Site agency.

Obtain an original signed Agreement from each Work Site agency (the Cooperative Agreement must have an original signature).The signature is to be followed by the personís title within the agency.

Review the Agreements for accuracy.

Print the name and affiliation of the individual who is developing the Work Site (in the top right-hand corner of the Cooperative Agreement e.g., Tom Smith, PCG, ResCare or County).

Obtain the signature/approval of the Region Director or his/her designee on the original Agreement.

Document capture and file the original.

7

Distribute the Agreement, Job Order packet and copies.

Maintain a Regional Work Site database.

Work Experience Job Order Form 22-14

The Region will negotiate the Job Order with the Work Site Agency so that it meets both the WEX criteria and the needs of the Work Site.

 

The Job Order includes:

 

   A Job Description

   The name of the Work Site Contact Person

   Work Site Location

   Any occupational requirements or necessary equipment

   The total number of positions by program

   Hours of operation and

   Any special instructions.

 

The Regional Representative will:

Complete a separate Job Order for each Job Classification at each Work Site.(When adding new Job Orders for a current Work Site, indicate the existing Job Order number).

Review the Job Order(s) to determine if the:

   Job(s) meet both the WEX and Work Site criteria

   Form is completed correctly.

When approved, initial and date the Job Order(s) at the top of the page.

Document capture and file the Job Order.

Check to see that the Cooperative Agreement covers any new assistance programs being added to the Job Order(s)

Check to see if Agency and address are listed in the Provider Screens in CalWIN.

If not in CalWIN, prepare a typed Employment Services Request to Add/Change Provider Record in CalWIN.

Follow the instructions in 10-250.D.1 Add/Change a Provider Record in CalWIN and forward the request to Fiscalís Centralized Provider Maintenance Unit (CPMU).

Update the Regional Work Site Database.

Job Order Updates

New Cooperative Agreements are not required to:

   Modify current Job Orders

   Add Job Orders for existing Work Sites.

 

New Cooperative Agreements are required to:

   Add a program that is not already covered by an existing agreement.

 

To update an existing Job Order the Regional Representative is required to:

Photocopy the existing Job Order form 22-14 DSS.

State the new information.

Highlight the changes.

Review the Job Order for accuracy.

Prepare a typed Employment Services Request to Add/Change Provider Record in CalWIN.

Follow the instructions in 10-250.D.1 Add/Change a Provider Record in CalWIN to forward the request to Fiscalís Centralized Provider Maintenance Unit (CPMU).

7

Update the Regional Work Site Database.

Document Capture and maintain file copies of all approved Cooperative Agreements and Job Orders.
